Onboarding apprentices: a short guide for training providers

Getting ready

With GCSE results just around the corner, now is a good time for HR leads and training staff to begin thinking about their onboarding processes.

How you onboard new starts, whether you work for a college or an independent provider, can make a big difference to the experience for the learner and the amount of work involved for back-office staff.

The ideal solution needs to remove the need for duplicate data entry, include self-serve form fills where possible, and offer a range of time-saving automations.

The challenges

Excessive administrative burden continues to be a problem for education staff, despite a move towards automated digital platforms. In many cases, there remains a need to re-enter the same information on multiple systems – an inefficient use of time.

When data is manually duplicated across different systems, errors occur. Questions as simple as how many learners there are on a programme are unable to be answered with any accuracy.

With outdated systems, there is a greater need for administration. And, with retention a serious problem in FE, there are often simply not enough staff to carry out the volume of work needed.

How we can help

With OneAdvanced’s Learner Management System (also known as PICS), onboarding is simplified, with customisable dashboards for each user. The system is particularly easy to use, with a user-friendly interface and intuitive navigation.

Our LMS is designed for seamless integration between commonly used 3rd party products and those in the OneAdvanced portfolio, including ePortfolio, Assessment and Learning (bksb) and Cognassist. This means your data remains accurate at all times.

The platform holds a large number of inbuilt validations for apprenticeships, AEB, Skills Boot Camps, and other funded contracts. We constantly update our form fields, ensuring ongoing ESFA compliance.

From initial application through to ‘live on programme’, the OneAdvanced LMS provides a robust audit trail, with time and date stamps, digital signatures and IP addresses tracked and stored.

What’s more, the platform allows your organisation to develop its own work flows, building up the learner profile for cohorts of any size. Learner creation is straightforward, whether updating an applicant or using existing data.

End-of-month processes are also made easy, with tools including ILR exporter, funding calculations, projected funding and forecasting, and ESFA report reconciliation.

When it comes to reporting, coherent graphs and charts give an at-a-glance view of the learner journey, from onboarding through to end point assessment. This data can be shared with board members and other stakeholders at the click of a button.

Summing up

OneAdvanced ‘s LMS (PICS) is a highly flexible and intuitive platform, made for educators. A range of automations speed up the process of onboarding, from initial application through to leaner creation. The platform makes end-of-month processes straightforward, while inbuilt validations ensure compliance at every step.
